Westpac New Zealand statement to CSV

Drop the Westpac New Zealand PDF as you downloaded it. It is converted on your computer, and we check every row against the running balance, compare the totals with the ones Westpac New Zealand printed and check that the rows carry the opening balance to the closing one. Then download it for your accounting software or a spreadsheet.

Getting the PDF out of Westpac New Zealand

  1. In Westpac One digital banking, choose the account you want from the Accounts screen.
  2. Select Download statements. On a phone, select the three dots first, then Download statements.
  3. Choose a statement from the list, or set a date range with the From and To fields and select View statements, then choose the statement to view or download.

You need a registered and activated Westpac One profile to view or download statements, and an account you cannot see in Westpac One cannot have its paper statements switched off.

Westpac says the Non-Profit Organisation Account can be banked through Westpac One Business or Westpac One; the steps above are the ones its help gives for Westpac One.

Westpac holds statements electronically for at least seven years. For a closed account, or without digital banking, you ask Westpac or a branch for a copy, which Westpac charges for.

What a Westpac New Zealand statement looks like, and what we do with it

Page one is a cover with the statement’s opening and closing dates, its number and an "At a glance" current balance, sometimes with Other balances or the credit interest rates; no transaction is on it. From page two, "Your transactions" runs under the headings TYPE, NAME OF OTHER PARTY, TRANSACTION PARTICULARS, MONEY OUT $, MONEY IN $, DATE and BALANCE $, oldest first, every amount unsigned. A page that does not finish the table ends "continued on next page", and the next repeats the headings.

The date sits to the right of the money, between MONEY IN $ and BALANCE $, and a row starts with a two-letter type code, AP, BP, DC, DE or PS, spelled out in a key at the foot of every page: "AP Automatic payment", "PS Eftpos".
We find the date by its column wherever it sits, keep the code at the start of the description, as in "DE Internet Payment", and read nothing from the key.
The balance is printed only on the last row of each day, so a busy day of payments in carries a single balance under all of them.
We carry the day’s rows forward and check them together against that balance, so a misread amount still fails on the day it happened.
Credit Interest has no type code. Its particulars give the gross interest and the withholding tax taken off it, in the form "$x.xx Less W/Tax $y.yy", or the word Exempt, while MONEY IN shows what was actually paid.
We export the amount in MONEY IN, which is what was credited, and keep the gross figure and the withholding tax in the description.
OPENING BALANCE is printed beside the "Your transactions" heading, CLOSING BALANCE ends the table, sometimes behind a row of dashes, and a Totals block below gives MONEY IN $, MONEY OUT $, INTEREST CHARGED $ and OTHER CHARGES $.
We take the opening and closing balances from those lines and export neither, then compare our money in and money out with the Totals.

What this page is based on

Four Non-Profit Organisation account statements from four community groups, each a month in 2025, taken from grant applications and community board agendas. Three passed every check: each row against the balance, the Totals to the cent, and the opening balance carried to the closing one. In the fourth, the last page had been filed as a picture, so our tests checked the two text pages, and every row on them reconciled.

Westpac’s Business Mastercard and Airpoints Business Mastercard statements, which card managers download from Westpac One Business, are a different document we have not seen. Nor have we tested a report built in Westpac One Business, or anything from the older Business Online.

Once it is converted, the import steps for each accounting package are the same for every bank.

Questions

Westpac One Business offers a "Westpac Account statement" report. Should I convert that instead?

We would start with the statement itself. Westpac’s help says a transaction report includes only the transactions up to the moment it was created and has to be downloaded within 24 hours. The statement PDF covers a closed period and prints its own Totals and closing balance, which is what each row is proved against. We have not had a report to try.

Why are Westpac Bill Payments showing as money in?

Because the code says how a payment was made, not which way it went. On a club’s statement most BP and DC rows are members paying in, so they sit under MONEY IN $. We sign every row by the column its amount is in, never by its code, and the running balance confirms the direction on the last row of each day.

One page of my Westpac statement is a scan. Does the rest still convert?

Yes. Each page is judged on its own: the text pages are read as text, a page that is one picture goes through OCR, and the sheet marks which pages came from a scan. One of the Westpac statements we tested had its last page filed that way in a council agenda, and every row on its two text pages reconciled.

Privacy, scans and price work the same for every bank, and the home page answers them.
