KeyBank statement to CSV
Drop the KeyBank PDF as you downloaded it. It is converted on your computer, and we compare the totals with the ones KeyBank printed and check that the rows carry the opening balance to the closing one. Then download it for your accounting software or a spreadsheet.

Statements for a small business account are in KeyBank Business Online, which KeyBank describes as the place to view checks, account statements and transactions. Its public help gives no menu path to them.
KeyNavigator, KeyBank’s commercial online banking, keeps its help behind sign-on: sign on to KeyNavigator, then choose Online Help from the bottom-left corner of the screen.

What a KeyBank statement looks like, and what we do with it
A KeyBank Business Banking Statement is dated by its last day, written out in words at the top right, and its summary runs from a Beginning balance through Additions and Subtractions to an Ending balance, the two balances dated short, as 3-31-24. Below come three blocks: Additions, Subtractions (paper checks first, where there are any, then the other withdrawals) and Fees and charges, each closing on its own total. Amounts are unsigned in the first two blocks, the first of each with a dollar sign, and signed in the third; nothing carries a running balance, and rows run oldest first.
- The summary counts what it adds up, a number of Additions and a number of Subtractions each before its signed total, and prints the fees apart, on a line of their own headed Net fees and charges.
- We add the subtractions and the fees into one money-out figure and compare ours with it, and our money in with the additions.
- Additions and Subtractions are headed "Deposits Date | Serial # | Source" and "Withdrawals Date | Serial # | Location", naming every column but the amount, and no row carries a balance.
- We take the figure at the right of each row as its amount, and its direction from the section it is listed under.
- Under Subtractions, Paper Checks come first, three to a line under "Check | Date | Amount" with an asterisk for a check missing from the sequence, and close on a Paper Checks Paid total before the withdrawals start.
- We read each check as its own transaction, with its number as the description, and read the withdrawals under them by their own header, not the checks’ columns.
- Fees and charges lists each fee with its Quantity and Unit Charge before the signed amount charged, so a fee taken twice at the same price shows 2, the price, then the total with a minus in front. The table can run onto the next page.
- We export the amount charged, not the unit charge, and the quantity stays at the end of the description, as in "Fedwire Service Charge 1".
- A fee can be waived in the same table, a "Service Charge Waive To Relationship Pricing" line with a plus, and when the waivers cancel the fees the summary prints no fees line at all.
- We export the fee and its waiver as they are printed, and compare the fees with the summary by what they come to, as KeyBank counts them.
- Rows are dated by month and day without leading zeros, 3-4, the fees in full, 3-4-24, and the only year above the table is in the statement date, "March 31, 2024".
- We read the dates month first and give each row its year from the statement date.
- A month with no transactions is still a statement, a Beginning balance and an Ending balance with nothing between them, and a court exhibit can bind more than two years of them, newest first.
- We read each month as a statement of its own, put them in order by each opening on the balance the one before closed on, and check the rows carry the first Beginning balance to the last Ending balance.
What this page is based on
Thirty monthly statements across three accounts. Twenty-eight came as one court exhibit of Basic Business Checking running from 2019 to 2021, newest month first and one month with nothing in it; read as a single run, its rows took the earliest Beginning balance to the latest Ending balance. That exhibit was held to the balance alone, not to each month’s summary. The other two are single months from Chapter 11 operating reports, Key Business Reward Checking from 2026 and Basic Business Checking from 2025, and each matched its additions, its subtractions and fees, and its Ending balance.
KeyBank Business Interest Checking and the Analyzed Business Checking Account are yet to be tried, as are personal accounts like Key Smart Checking and card statements such as the KeyBank Business Cash Rewards Card. We cannot tell whether any of our three came out of KeyNavigator.
Once it is converted, the import steps for each accounting package are the same for every bank.
Questions
Can I send KeyBank transactions to QuickBooks without a statement at all?
For recent activity, yes. KeyBank’s online banking FAQ says both online banking and KeyBank Business Online link to Quicken and QuickBooks, through Express Web Connect, Web Connect or a QFX file, with the third-party access switch under User Profile, then Security Center. A converted statement is for when you want the month as KeyBank closed it, with the summary’s additions and subtractions to check against, or for software those links don’t reach.
Our first KeyBank statement starts partway through the month at $0.00. Will it convert?
Yes. One of the three we tested is just that: its Beginning balance is $0.00, dated a week into the month, and its rows start the same day. It matched its summary and reached its Ending balance like the others, so a short first month needs nothing done to it.
Can our bookkeeper sign in to KeyBank Business Online for the statements?
KeyBank says KeyBank Business Online manages multiple users, with permissions set for each, from managing accounts to simply monitoring them. Its service agreement puts your Administrator in charge of who the users are and what each can use. Neither says statements can be granted on their own, so ask KeyBank what a monitoring user sees.
Our statements come from KeyNavigator. Will they work?
We don’t know yet. Everything on this page comes from Basic Business Checking and Key Business Reward Checking, and nothing in those files says which KeyBank service printed them. Drop a KeyNavigator statement in and read what the checks say: where its rows don’t add up to the summary or the Ending balance, we show you that instead of a clean file.
Privacy, scans and price work the same for every bank, and the home page answers them.
