Capital One statement to CSV

Drop the Capital One PDF as you downloaded it. It is converted on your computer, and we check every row against the running balance, compare the totals with the ones Capital One printed and check that the rows carry the opening balance to the closing one. Then download it for your accounting software or a spreadsheet.

Getting the PDF out of Capital One

  1. Sign in to capitalone.com.
  2. Click on the account you want statements for.
  3. Click "view statements".

These steps are from Capital One’s checking and savings help, which has no separate version for business accounts. Statements show online only once the account is enrolled in paperless statements, under Account Services & Settings, then Paperless.

Bank statements are typically ready online by the 6th of each month, and up to 7 years of them can be viewed while the account is active.

Premier Checking is reached online through the Intellix platform rather than capitalone.com.

From Capital One’s own help: Online Bank Statements, Paperless Statements, Premier Checking.

What a Capital One statement looks like, and what we do with it

Nothing on the statement names the checking product. It has two parts, each beside "FOR PERIOD" and the period in capitals, month, day and year: an ACCOUNT SUMMARY of the balances and money in and out, with the cycle’s days, minimum balance and average collected balance alongside, then the ACCOUNT DETAIL in five columns, Date, Description, Deposits/Credits, Withdrawals/Debits and Resulting Balance. Every row has its balance and every amount its dollar sign; rows run oldest first, dated month and day, and the detail closes on a Total row for both money columns.

The Account Summary counts each side beside its total, Deposits/Credits and Checks/Debits, and puts money out in parentheses, between the dated Previous Balance and Ending Balance, with a Service Charges line before the end.
We read a figure in parentheses as money out, compare our money in and out with the summary, and check the rows carry the Previous Balance to the Ending Balance.
The Account Detail is headed "Date | Description | Deposits/Credits | Withdrawals/Debits | Resulting Balance", and a balance that goes overdrawn is printed in parentheses after its dollar sign.
We read a balance in parentheses as overdrawn and check every row against the Resulting Balance beside it.
An overdraft charge names the item it was charged for, with that item’s amount inside the description, "Overdraft charge DR AMT" and a figure, while the charge itself sits in Withdrawals/Debits.
A figure that ends left of the money columns is text, so the charge is read from its column and its description keeps the DR AMT figure.
A row’s description runs on for two or three lines under its date: a wire or ACH payment carries the other party’s name and its reference on the lines below, sometimes breaking a word across them.
We join the lines into one description for the row above them.
Rows are dated "03/01" with no year, which comes from the period beside the headings, written out in capitals as "MARCH 01, 2024 - MARCH 29, 2024".
We date each row from that period, month first.
After the detail, the checks are listed again three to a line under "Check No. | Date | Amount", an asterisk after a number marking a gap in the sequence.
We read no rows from that list, since each check is already a row of the detail, as "Check" and its number.
Where overdraft charges were taken, a small table gives Total Overdraft Fees and Total NSF Fees for this period and the year to date.
We read none of it as transactions: each charge is already its own row of the detail, and the year-to-date figures reach back past the statement.

What this page is based on

Three months from three unrelated businesses, one from 2016 and two from 2021, taken from a Chapter 11 operating report, a court exhibit and a bankruptcy filing. All three passed every check: each row against the Resulting Balance beside it, our deposits and withdrawals against the Account Summary, and the Previous Balance carried to the Ending Balance. The 2016 month is the hard one, sixteen pages and over three hundred rows, overdrawn on its first day with a run of overdraft charges, and not one row disagreed with its balance.

Every statement here is business checking printed with no product name, so we can’t say which of Basic, Enhanced or Premier Checking each was. We have read nothing from Intellix, nor a 360 Checking statement or one for a Spark card such as the Spark 2% Cash Plus.

Once it is converted, the import steps for each accounting package are the same for every bank.

Questions

Capital One shows only two years of transactions online. How do I get older ones into my books?

From the statements. Capital One’s transaction history help says the website lists the past two years of activity, and that for anything earlier your statements hold seven years of it. Download those months as PDFs and convert them; each is checked row by row against its Resulting Balance before you import it.

We are closing our Capital One account. How long do we have to save the statements?

105 days. Capital One’s help on closing an account says a closed account stays visible online for 105 days, and its statements can be downloaded and printed during that time. Save every month you will need before then.

Can our bookkeeper be added to the Capital One business account?

Capital One lets you add an account user to a small business bank account under Account Services & Settings, then Manage Account Users, on the website only, though the option varies with the account type. The page does not say what an account user can see, so check that statements are included before relying on it.

Privacy, scans and price work the same for every bank, and the home page answers them.
